Fetches name, title, company, industry, and any custom fields from the Apollo contact record at trigger time. This is the personalization data that populates your HeyGen template variables. No separate data source, no spreadsheet prep.
Video URL injection into sequence steps
Writes the rendered HeyGen video URL to a designated contact custom field in Apollo via the API. Your sequence email template references that field as a merge variable. Apollo substitutes the real URL when the email sends - every contact gets their actual video link.
Sequence enrollment trigger from CRM
A CRM event - deal stage change, lead score threshold, form submission, inbound intent signal - fires the enrollment into your Apollo sequence automatically. Supported CRMs: HubSpot, Salesforce, Pipedrive. Other CRMs with a usable API scoped as custom work.
HeyGen render with Apollo data
Dispatches the render request to HeyGen with Apollo contact fields mapped to your template variables. Fields are validated before the API call - a missing company name produces an alert, not a video with a blank merge field. Retry logic handles HeyGen rate limits without dropping contacts.
Engagement write-back
After delivery, video engagement events - link opens, plays, replays - are written back to the Apollo contact record and your CRM deal. Your team sees engagement data where they already work, not in a separate video platform dashboard.

Failed renders that cannot self-heal surface to Slack or email with the contact link and error detail. Architecture diagram, credential inventory, and a 60-minute recorded handover session included. You own the system and documentation.

CRM trigger fires
A deal stage change, a lead score threshold, or an intent signal in your CRM triggers the pipeline. The contact record is identified and the Apollo enrichment pull runs immediately to gather personalization data - name, title, company, and any custom fields your template needs.
HeyGen renders the video
Personalization data from Apollo is validated and mapped to your HeyGen template variables. HeyGen renders the video - typically 2-4 minutes. If HeyGen rate-limits the request, the queue retries automatically. A failed render that cannot self-heal alerts your team with the contact link attached.
URL written to Apollo, sequence delivers it
The rendered video URL is written to the designated custom field on the Apollo contact record. Your sequence email step references that field as a merge variable. When Apollo sends the email, the contact receives their actual personalized video link - not a generic landing page.
One boundary, stated plainly
We wire the pipeline - trigger, render, URL injection, sequence enrollment, engagement write-back. We do not write your video scripts, build your Apollo sequences, or source your contact lists. Your sequence structure and your HeyGen templates are prerequisites, not deliverables. Everything else is our scope.

Apollo.io Basic or above
API access to the contact enrichment and sequence management endpoints requires Basic plan minimum. Free plan rate limits and API restrictions make automation impractical. We confirm your plan during the audit.
HeyGen or Synthesia with API access
HeyGen Creator plan for HeyGen, Synthesia Creator plan for Synthesia. You need at least one published template with named variable slots. We handle the API integration. You own the avatar, the script, and the template structure.
At least one sequence with one email step
The sequence must already exist in Apollo and have at least one email step where the video link will be delivered. We map the custom field merge variable into that step. If your sequence is not built yet, that is a prerequisite to scope before we start.
Written acceptance criteria before we build. The pipeline passes those tests - trigger fires, video renders, URL lands in the Apollo custom field, sequence delivers it - or we keep working at no additional cost.
If we cannot meet the criteria, the final milestone is waived and you keep everything built plus all documentation.
Questions
Which Apollo.io plan do I need for API access?
Apollo.io Basic plan or above. The Free plan has very limited API access and rate limits that make automation impractical at any real sending volume. Basic gives you the contact enrichment endpoints and sequence management API we need. We confirm your plan tier during the free audit and tell you the exact upgrade cost if you are below it.
Does sequence enrollment happen manually or automatically?
Both modes are supported. Automated enrollment means a CRM event - a new deal stage, a form submission, a lead score threshold - triggers enrollment into your Apollo sequence without a rep touching anything. Manual mode means a rep selects a contact and hits enroll, but the video URL is already pre-populated in the custom field so the sequence delivers it correctly. Most clients start with automated enrollment for one high-intent trigger and add more triggers after the first build is stable.
How does the video URL actually get into the email step?
Apollo sequence email steps support custom field merge variables. We write the HeyGen video URL to a dedicated contact custom field in Apollo via the API. Your email template references that field with a merge tag - for example {{contact.custom_video_url}}. When Apollo sends the email, it substitutes the real URL. The rep never copies a link. The contact gets a real personalized URL every time.
Can we pull contact data from Apollo to feed the HeyGen render?
Yes. Apollo's enrichment API returns name, title, company, industry, LinkedIn URL, and any custom fields on the contact record. We pull that data at trigger time to populate your HeyGen template variables. If your HeyGen template references company name and job title, those come from Apollo - no separate data source needed. Any field Apollo does not have can be supplemented from your CRM if you have one connected.
